This Privacy Policy explains how SmartSchool Manager GH collects, uses, stores, and protects personal information when schools, administrators, teachers, parents, and guardians use the app.

Information We Collect
Account details such as name, email address, phone number, role, and login-related identifiers for administrators, teachers, and parents.
School profile details such as school name, address, primary and secondary phone numbers, and subscription status.
Student records such as full name, class assignment, sex, date of birth, age-related information, admission-term tagging, attendance, academic results, report cards, and fee records.
Parent and teacher records used to connect people to schools, classes, and students.
Financial records such as fee structures, payment amounts, payment methods, billing dates, receipt details, expenses, and salary-related entries where a school chooses to use those features.
Announcement and messaging data, including school notices and optional parent reminder contact details.
Device-related data such as push notification tokens, session data, and optional biometric-login preferences.
How We Use Information
To create and manage school accounts and role-based access for admins, teachers, parents, and authorized staff.
To operate core school-management features such as attendance, results, report cards, class management, billing, and parent communication.
To send in-app and push notifications, including school announcements.
To generate receipts, reports, summaries, and administrative records for school operations.
To verify subscription payments and maintain billing status for schools.
To secure the app, troubleshoot problems, and improve reliability.
Biometric Login
If a user enables biometric login, SmartSchool Manager stores the saved email address and password locally on the device using secure storage so the user can sign in faster.
Biometric data such as fingerprints or face data is handled by the device operating system and is not collected or stored by SmartSchool Manager.
Notifications
If notifications are enabled, the app stores a push token linked to the user profile so announcements and alerts can be delivered to that device.
Users can also disable push notifications from supported app settings where available.
Payments and Billing
The app records school fee payments, payment methods, receipt details, and subscription status needed to operate billing features.
Subscription payment verification may use Paystack on the server side. Secret payment credentials remain on the server, while public payment flows may open in the app.
Payment card or mobile money credentials are processed by the payment provider and are not stored directly in the app code reviewed for this policy.
Third-Party Services
SmartSchool Manager relies on service providers needed to run the product, including Supabase for authentication and database services, Expo services for app delivery and notifications, and Paystack for payment verification.
These providers may process data only as needed to support app functionality.
Data Sharing
Personal information is not sold.
Information may be shared with service providers that help operate the app, when required to provide the service, protect the platform, comply with law, or respond to a valid legal request.
Schools are responsible for ensuring they have the appropriate authority to upload and manage student, parent, and staff data in the app.
Data Retention
Account, school, academic, and billing records are kept for as long as reasonably necessary to provide the service, maintain school history, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods may vary depending on the type of record and the school account status.
Security
The app uses authentication, role-based access controls, secure session handling, server-side verification for sensitive payment actions, and secure device storage for certain local credentials.
No method of transmission or storage is completely secure, so users should keep their devices protected and use strong passwords.
Children's Privacy
SmartSchool Manager is intended for use by schools, administrators, teachers, parents, and guardians. Student records are managed by authorized adults and institutions as part of school administration.
The current mobile configuration reviewed for this policy requests internet access and does not request location, camera, microphone, or contacts permissions in its present Android app settings.
Your Choices
Users may request account-detail updates through their school or the app administrator.
Users can choose whether to enable biometric login on supported devices.
Schools may contact support to ask privacy-related questions or request assistance with account data.
